Legal Secretary - Conveyancing

We are hiring for a high-end law firm in Belfast City Centre that is seeking an experienced Legal Secretary to support their Managing Partner. This is a fantastic opportunity to work in a prestigious firm who value professionalism, quality service, and personal development.

The Role:

  • Provide secretarial and administrative support to the Managing Partner and fee earners in the Conveyancing department
  • Prepare, draft, and proofread legal documents such as contracts, conveyancing forms, completion statements, and correspondence
  • Manage diary appointments and organise client meetings, including booking rooms and liaising with clients
  • Communicate directly with clients, estate agents, lenders, and third parties
  • Assist with file management, ensuring all documents are correctly filed and up to date
  • Handle telephone calls, manage client inquiries, and maintain accurate records
  • Prepare documents for property transactions, including contracts and completion packs
  • Assist in post-completion work such as registrations and dealing with paperwork
  • Manage billing and timesheets, ensuring accurate records of work completed
  • Assist with general administrative tasks such as photocopying, scanning, and document formatting

The Person – What We’re Looking For

  • Previous experience as a Legal Secretary in conveyancing or property law
  • Strong typing, audio/digital dictation, and document production skills
  • Excellent organisational skills and ability to manage a busy workload
  • Ability to maintain a high level of confidentiality and professionalism
  • Proficient in Microsoft Office and legal case management systems
  • Strong communication skills, both written and verbal, with the ability to liaise with clients and third parties professionally
  • Attention to detail and the ability to prioritise tasks in a busy environment
