Executive Assistant
We are hiring for exclusively for our client, a growing global company to recruit a highly skilled and proactive Executive Assistant to support an Executive based in Belfast. This is an exciting opportunity to join a mission-driven, innovative organisation at a pivotal point in their journey.

The Role:
Executive Support:
• Calendar management, ensuring smooth scheduling and prioritisation across global time zones
• Coordinate internal and external meetings, preparing agendas, materials, and following up on actions
• Prepare, edit, and proofread documents, presentations, and reports as required
• Provide inbox management, flagging priorities and ensuring effective communication across timezones
UK Operations Support:
• Assist with administrative tasks related to the UK entity (documentation, record-keeping, compliance)
• Liaise with cross-functional global teams to ensure seamless delivery of UK-related tasks
• Support onboarding of new hires in the UK when required
• Coordinate with the US Executive Assistant team to ensure consistency in company processes
Meetings & Coordination:
• Support leadership meetings by preparing notes, collating slides, and capturing actions
• Organise virtual and in-person team sessions or workshops for the UK function
• Participate in the annual all-company meeting, providing support to the Executives and attending as needed (USA, annually)
General Administration:
• Maintain accurate documentation and digital filing systems
• Process purchase orders, manage expenses, and support internal approvals
• Uphold confidentiality and professional standards at all times
The Person – What We’re Looking For
Essential:
• 5+ years’ experience supporting senior executives at Executive Assistant level, specifically in a professional or technical organisation
• Exceptional organisational skills with the proven ability to manage competing priorities across time zones
• Strong written and verbal communication skills, with a professional and confident manner
• Highly proactive, resourceful, and comfortable working autonomously in a remote environment
• Proficiency in Microsoft Office, Teams, and other productivity tools
• Discreet and professional, able to handle sensitive information confidentially
Desirable:
• Experience supporting executives in biotech, pharma, or life sciences
• Interest in contributing to operational processes as the UK entity evolves
