Personal Assistant to Directors

We are hiring exclusively on behalf of a well-established and growing financial services firm based in Belfast, who are seeking an experienced and highly organised Personal Assistant to support the Directors. This is a key role providing proactive, high-level administrative and executive support in a fast-paced professional services environment.

The Role:

  • Provide comprehensive diary management, meeting scheduling, and travel coordination for Directors
  • Handle confidential documentation, emails, and correspondence with professionalism
  • Prepare board packs, reports, and documents ahead of meetings
  • Organise and attend internal and external meetings where appropriate, taking minutes and tracking actions
  • Support Directors with expense management, inbox monitoring, and general admin
  • Coordinate with internal departments and external stakeholders on behalf of senior leadership
  • Assist with event planning, document formatting, and presentation preparation
  • Act as a gatekeeper and key point of contact for the Directors
  • Anticipate needs and proactively manage priorities and timeframes

The Person – What We’re Looking For

  • Previous experience as a PA, Executive Assistant or Senior Administrator
  • Excellent organisation and multitasking skills, with strong attention to detail
  • Discreet and professional, with the ability to handle confidential and sensitive information
  • Proactive, self-motivated, and confident supporting busy senior leaders
  • Strong communication skills, both written and verbal
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Able to build relationships across internal teams and with external partners
  • Financial services or professional services background is desirable
